Indonesia Ocean Justice Initiative (IOJI) serves as an Indonesian independent think tank and policy advocacy group to achieve good, sustainable, and equitable ocean governance. In attaining our vision, IOJI has determined the following missions: Initially, we support the Government of Indonesia in mainstreaming, implementing, and enforcing sustainable and equitable ocean governance. Second, we advocate for sustainable and equitable ocean policies at the local, national, regional, and international level. Further, we strengthen the network with government, academia, and civil societies at the national, regional, and international levels working on ocean issues to influence the decision-making at every level of government to attain good and sustainable and equitable ocean governance. Lastly, we empower the small-scale fishermen, the marginalized coastal dependent people, and fisheries workers in defending and striving for their basic human rights. IOJI is currently looking for an Admin Support to assist the Operations Team in carrying out administrative tasks to ensure smooth organizational operations. In attaining such objectives, IOJI is seeking for qualified candidates for the following position.

Job Responsibility

The Admin Support will report directly to the General Affairs & Human Resources Manager. They will work closely with the Operations Team (General Affairs & Human Resources Officer, Finance Officer, Accounting Officer, Finance Manager, Chief Operating Officer), and will be responsible for providing administrative and logistical assistance to ensure smooth day-to-day operations within the organization.

Job Description

The responsibilities of the Admin Support include, but are not limited to:

  1. Assisting with finance document preparation, formatting, and filing (physical and digital).
  2. Supporting meeting preparation, including food order, participants form, and meeting equipment.
  3. Assisting in the procurement process (e.g., finding vendor contact information, collecting quotations, and organizing supporting documents.).
  4. Supporting the organization of events/workshops (logistics, participants form, etc.).
  5. Helping manages office inventory and supplies.
  6. Providing other administrative assistance as requested by the Operations Team.

Key internal relationships

  1. General Affairs & Human Resources Manager: Direct report.
  2. Chief Operating Officer: Supporting meeting preparation and document preparation.
  3. Finance Manager: Supporting meeting preparation and document preparation.
  4. General Affairs & Human Resources Officer: Teamwork.
  5. Finance officer & Accounting Officer: Assisting with document preparation, formatting, and filing (physical and digital).

Knowledges and Experiences

  • Currently pursuing or recently graduated with a diploma or bachelor’s degree in Administration, Management, Social Sciences, or a related field.
  • Basic understanding of administrative and office procedures.
  • Familiarity with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
  • Experience in organizing documents and handling data entry is an advantage.
  • Previous internship or volunteer experience in an administrative or support role in NGO sector is preferred but not required.
